How to export tagged individuals

A good way to export just a part of your family file is to tag people. Tagging is like putting slips of paper in specific places in a book to mark or tag those pages for photocopying.

In this way, tagging can be used to select only certain people for inclusion in exports or GEDCOM files, rather than including everyone. In addition, some lists can be filtered to show only tagged records -- this is very handy when there are thousands of people, or sources, or locations to look at, but you only want to target a selected few.

Tagging can also be used to delete individuals from your family file.

To turn on the Tagging option, please click on Options on the menu bar and select Customize. In the Customize screen make sure you are on the General tab; then check mark the Enable Tagging box and Save.

The Advanced Tagging screen is reached by right-clicking on any tag box or by choosing Tag Records… from the Edit menu. You can also find it by opening the Name List and clicking Options and selecting Advanced Tagging.

Once you are in the Advanced Tagging screen you can select to tag the descendant line of an individual. After tagging the line you will be ready to export. Click on File and select Export To > GEDCOM File.
In the GEDCOM Export screen click the Record Selection button at the bottom of the screen and in the GEDCOM Record Selection screen select “All records with an individual tag of” and use the tag level number used when tagging and the close the screen. You are now ready to export.
You will have to send a backup copy of your multimedia files so that your relative will also get the pictures. See http://www.legacyfamilytree.com/helpMediaBackups.asp for the steps to backup and restore multimedia files.

If your relative buys Legacy, follow these general steps but export to a Legacy family file and send a copy of the multimedia backup file made from the new family file.

Here are three important things to keep in mind if you get too many people:
 
1. In the Advanced Tagging window, click the Clear All Tag Numbers For Everyone button before you start.

2. When in an Ancestor Options screen, select only Direct Line Ancestors and optionally you can check mark the three boxes under Direct Line Ancestors. Do not select Entire Ancestor Line. This option is exactly like adding an entire family line and will take everybody connected in any way to the individual -- up or down or sideways in his or her family tree.

3. When in a Descendant Options screen, select only Descendants (includes all descendants). Do not select Entire Descendant Line. This option is exactly like adding an entire family line and will take everybody connected in any way to the individual -- up or down or sideways in his or her family tree.
